Exiting Families

    Hi All:

    I am looking to collect some examples of what other schools do to collect feedback + info from families who have decided not to re-enroll their student (either at a major transition point or otherwise). Does your head of school call? Do you ask for a survey immediately or over the summer?

    If you do use something for this process, would you also mind sharing said survey, or set of questions?

    Thanks!

    Hi Alexandra.  I meet with our Senior Leadership Team to see what they know and then we discuss who is the best person to have this conversation.  I am the default in case no one else is comfortable or knows the family well enough.  I also send a survey with the opportunity to be anonymous in the believe that some families will be more honest this way.

    Good luck!

    Hi Alexandra,

    We have a withdrawal form which is required for parents to finalize their withdrawal process and stop payments - whether it's for mid-year or for those not returning the following year and not wanting to pay the continuous enrollment down payment.

    We simply ask them to select the "category" of why they are leaving:
    • Academic
    • Personal/Social
    • Financial
    • Move/Relocation (we have lots of military in our area)
    • Personal Choice (which often falls in other categories but gives them a more generic option)
    • Health
    • Family Issues/Changes
    We then ask them to explain (which is optional).

    What this form does is give us - whether it's the business department for finances to offer variable tuition, or a principal to check on the academic or personal/social, or a teacher/staff/parent to reach out and offer to pray for health/family issues, this gives us the opportunity to either retain the family or at least have positive exit and the possibility of a return at some point. (Not always possible, but it happens a lot!)

    Hope that helps!
    Susan

    Here is a suggested guideline for the process.

    EXIT INTERVIEW

    Possible Questions

    Depending on your school's personality and culture, your interview may be more or less structured than others, but every survey should establish the following:

    • why the family decided not to re-enroll;
    • who participated in making the decision;
    • what strengths and weaknesses the school had while their child was enrolled;
    • why the family chose the child's new school; and
    • what sort of school-public, private, charter, religious, college prep, etc.-the child attends now.

    I hope you find this helpful.

    Warm regards,
